Slow invoice-email delivery can result from desktop mail configuration, connectivity, queue delays or the recipient's email system. These diagnostic steps apply generally; menus vary by QuickBooks release.
Identify where the delay occurs
Check whether the invoice is delayed before leaving QuickBooks, after reaching your mail provider, or after being accepted by the recipient's server. Send a test message to an address you control, and record timestamps and any error codes.
Review email and network settings
Verify the selected mail method, authentication status, permissions, connectivity and any firewall or security software interfering with mail delivery. Avoid entering passwords into unverified third-party tools. Check message size and attachment limits.
Prevent billing disruptions
Keep a record of issued invoices and delivery confirmations. If email sending fails, export a PDF through an approved method and send it securely while preserving accounting records. Ask your IT administrator or supported mail provider for assistance when troubleshooting account settings.
When to involve product support
If invoice emails fail consistently despite a working mail account, capture your QuickBooks version, system details, error messages and recent changes before contacting authorized support.
